updating a Preferences file
I am currently using Bookends 12. A friend has provided me with an important format, but I need to use the Preferences file he has provided. Is there a way to replace my BE 12 Preferences file with the BE 11 file he has provided for me?

You *can* trash your Bookends 12 preferences and put his in that folder. Bookends will update it to 12 and use it. Of course, any existing prefs settings will be lost, as well as your registration code. The better approach is to just change the settings that need changing. I assume that this is the addition of reference Types (since you mention a format). That's simple. In your existing preferences, rename as many Unused Types to whatever you want, to match what he has done. To rename, just click twice (slowly) on the field in the list and enter the new name.
