formats manager

I have a question concerning the formats manager. I am trying to create my own bibliography format, but I find the system to do so very unpractical.
What I can't figure out is how to prevent certain words from appearing if the field is left blank in your book description
For example, if I create a code such as:
a. t. (transl. by...) etc
the "(transl. by)" also appears in my bibliography when there is no translator. Same goes for editors. How can I prevent this?
Also, is it possible to make a difference between the indication 'pp.' when I am referring to several pages in a book and 'p.' when I refer to a one-page article?
Something different: Bookends constantly crashes or gives me error notices when I am doing nothing wrong. Can anyone tell me why this is happening? I have to work with this database system daily, so its proper funtioning is very important to me. I've been using Bookends for one month now and I really get the impression that it is not very reliable. Does anyone have any experience with Endnote? Does this program work better?
