I have over 400 archival photos that have been processed with high resolution scans. When using them in a publication I need to cite the source archives and then the box, file and image number. How best to do this with Bookends a)make smaller reference images to save space?, name the archives and collection as author?, the volume number as photo number? Any direction much appreciated.

Attachments are not stored in the Bookends database. They're on the HD and Bookends finds them to display them. So no need to worry about photo size (at least from the Bookends perspective). You can create a new reference Type (rename one of the Unused Types in preferences) called Photo, and you can edit the field labels to fit your needs (e.g. Author -> Photographer or Archive, Volume as number, etc.). Whatever you like.
